Checking the Number of Users with Access Permissions

cybozu.com administrators can check the number of users who can access each app from the [App List] on the [App Management] screen.
This tool can be useful when you want to identify apps with a large number of accessible users and take action to confirm with the person in charge whether appropriate access permissions are set.

About the number of users displayed in the "Number of Accessible Users (Regular Users)" column

This displays the number of regular users who can access the app. "Regular users" refers to users registered in Users & system administration.
Specifically, the number of users who meet all of the following conditions will be displayed.

  • On the "App Settings" screen, the "Permissions for app" section has one or more of the following options selected:
    • View records
    • Add records
    • Edit records
    • Delete records
    • Import from file
    • Export to file
  • The Allow checkbox has been selected for Manage/use/delete apps for them on the Permissions for app groups screen for their app group in kintone administration.
  • If the app belongs to a private space or a guest space, users who are in the space
  • Their Account status is set to Active on the Change user information screen in Users & system administration.

Please note that users with administrative privileges for the relevant application, kintone system administrators, and cybozu.com administrators are not included in the number of users who can access the application (regular users).

About the number of users displayed in the "Number of Accessible Users (Guest Users)" column

If an app belongs to a guest space, the number of guest users who can access the app is displayed. Specifically, the number of guest users who satisfy all of the following conditions is displayed:

  • On the "App Settings" screen, the "Permissions for app" section has one or more of the following options selected:
    • View records
    • Add records
    • Edit records
    • Delete records
    • Import from file
    • Export to file
  • On the Permissions for app groups screen in kintone administration, in the Public app group, the Allow checkbox for Manage/use/delete apps for Everyone is selected
  • In the Space settings dialog of the guest space to which the app belongs, the "Status" is set to "In Use" in the "Guest" tab.

Notes on retrieving data for the [Number of Accessible Users (Regular Users)] and [Number of Accessible Users (Guest Users)] columns.

The following are the points to note when retrieving data for the "[Number of Users with Access (Regular Users)]" and "[Number of Users with Access (Guest Users)]" columns:

  • The data in the [Number of Accessible Users (Regular Users)] and [Number of Accessible Users (Guest Users)] columns is in the Not retrieved state when you open the [App Management] screen.
    After retrieving the data once, refreshing the web browser will revert the data in these columns to the Not retrieved state. cybozu.com administrators should manually retrieve the data at the necessary time.
  • Data for the column can be retrieved up to 10 times per day.
    • The number of retrievals resets daily at 12:00 AM UTC (9:00 AM JST).
    • The number of currently available retrievals appears on the Retrieve manual update data dialog that appears when you click the button for retrieving data.
    • If you try to retrieve data when the daily retrieval limit has been reached, a Caution dialog will appear instead of the Retrieve manual update data dialog. This dialog shows the date and time of the last data retrieval. You can also click the Display button on this dialog to reflect the last retrieved data in the App administrators column.
  • Depending on the number of apps, it may take some time to retrieve data for the columns "Number of Users with Access (Regular Users)" and "Number of Users with Access (Guest Users)". Please do not close the screen while the data is being retrieved.

Retrieving data for the"[Number of Users with Access (Regular Users)]" column and the"[Number of Users with Access (Guest Users)]" column

  1. Click the Settings icon (the gear-shaped icon) at the top of kintone, then click App management.
